Refund & cancellation policy

What happens when you cancel, when we refund, and how to ask.

1. Scope

This policy covers subscriptions to the Pharmizo platform bought directly from us. Where a signed order form sets out different terms, that document prevails. Pharmizo is a subscription service, not a physical product, so nothing here concerns shipping or returns.

2. How to cancel

Email [SUPPORT@EXAMPLE.COM] from an address belonging to one of your organization’s administrators, stating the organization name and the date you want the cancellation to take effect. There is no self-service cancel button: cancelling ends access for every user in the organization, and we would rather a human confirmed that.

We acknowledge cancellation requests within two working days and confirm the date access will end.

3. What happens next

Access
Your subscription runs to the end of the cycle you have already paid for, then stops renewing. You keep full access until that date — cancelling does not cut you off immediately.
Your data
Export it before access ends. Data export is available as a per-organization capability, and higher plans include REST API access. If you need help getting a full extract, ask us and we will help.
Deletion
After a wind-down period of [30] days from the end of access, we delete your organization’s data, except records we are required to retain by law such as invoices. Deleted data ages out of backups within seven days.

4. Refunds

Cancelling mid-cycle does not attract a pro-rata refund. Fees for the current billing cycle have been earned, and you retain access for the remainder of it. Choosing a monthly cycle rather than an annual one is the way to limit exposure.

We do refund, in full or in part, in these situations:

  • We billed you in error — a duplicate charge, the wrong plan, or more seats than your order form specifies. Refunded in full, and we do not need you to argue for it.
  • We could not deliver the service — a sustained outage or a defect that makes the platform unusable for you and that we cannot resolve within a reasonable period. Refunded pro-rata for the affected period.
  • We terminate without cause — refunded pro-rata for the unused remainder of the cycle.
  • Within [14] days of a first-ever subscription payment, where you have decided the platform is not right for you. Refunded in full, once per organization.

We do not refund where:

  • you simply stop using the platform, without cancelling;
  • we suspend or terminate your account for breach of clause 4 of the terms of service, or for non-payment;
  • you used fewer seats than your plan includes;
  • a third-party service you connected to Pharmizo failed, where the platform itself was available.

5. Downgrades and seat reductions

A downgrade or a reduction in seats takes effect at the next renewal, at the lower price. We do not refund the difference for the current cycle. Upgrades take effect immediately and are charged pro-rata for the remainder of the cycle.

6. How refunds are paid

Approved refunds are issued to the original payment method within [7 to 10] working days of approval. How long it then takes to appear depends on your bank or card issuer, which is outside our control. Bank charges on international transfers, where applicable, are deducted.

7. Disputes

If you disagree with a decision on a refund, write to [GRIEVANCE@EXAMPLE.COM]. Our Grievance Officer, [GRIEVANCE OFFICER NAME], responds within 15 days. Please come to us before raising a chargeback — a chargeback typically results in suspension while it is investigated, which is worse for you than an email.
